Job Summary:
Our busy roofing company is seeking a highly organized, hardworking and self-motivated Administrative Assistant to keep the office running smoothly during interviews, New Hire Training and day to day operations. The position will report directly to the Operations Manager but will complete task for multiple managers. Therefore, he or she needs to have superb time management and organization skills. The candidate will be comfortable with general office operations, including electronic correspondence, filing, typing reports and distributing mail when needed. Our Administrative Assistant is one of the faces of our organization, and therefore should have good people and communication skills in order to best work with our clients.

Requirements:

• Excellent computer skills to include Microsoft Office and Typing skills 60 WPM
• Polite and professional communication skills and attention to detail

Overview of Duties

Daily Tasks:
• Answer phones, greet and direct guest
• Schedule roofing appointments for staff as calls come in and maintain calendars
• Email/text review request
• Email marketing

Expected Tasks from management when needed:
• Schedule and coordinate staff meetings authorized by management
• Prepare communications, such as memos, emails, invoices, reports and other correspondence as directed by management
• Write and edit documents from letters to reports and instructional documents
• Create and maintain filing systems, both electronic and physical

Scheduled Interviews/New Hire Training – recruitment dates are scheduled well in advance for planning:
• Make/Answer emails & phone calls by following the interview script.
• Schedule multiple group interviews in sets of 10 and maintain calendar around the same
• Make/maintain confirmation emails for interview 24-48 hours beforehand
• Greet and assist candidates in form completions on interview day
• Hand-out and maintain questionnaires for Post-Screen for all candidates
• Scan/email/file Acceptance & Training Confirmation Letters
• Make Training Confirmation calls and send out follow-up emails – 48hours before training begins
• Schedule and setup breaks for New Hire Training
• Recruitment tracking

Time Expectation:

• (2) in-office days per week at 8 hrs. per day
• Remaining hours worked “can” be remote and will be calculated on Upwork time completed per task requested
